IDEXX Integration - Reference & In-House (VetLab Station)

The IDEXX integration with DaySmart Vet software streamlines veterinary practice management by seamlessly connecting diagnostic results with patient records. This integration allows veterinarians and staff to easily request diagnostic tests and view results directly within the DaySmart Vet platform, reducing manual data entry and improving efficiency.

✅ How to Enable the Integration & Check VetLab Station Connection

Enabling the IDEXX integration is the first step in getting started with linking your labs to your account. If you're using an in-house VetLab machine, you will need to make sure your device is connected to your account after enabling the integration.

  1. Click on Settings

  2. Click on Integrations and search for IDEXX in the search bar on the top right of the list

  3. Click on the green plus icon next to the IDEXX Integration row

  4. Complete the form that appears by providing your VetConnect Plus username and password

  5. Click Enable

If you are utilizing the in-house VetLab station, you will need to ensure it is connected properly.

  1. In DaySmart Vet, click on Settings

  2. Click on Configurations and select View Devices

  3. If the VetLab Station is connected, you will see the device listed and the Status listed as Online

    You can test the integration on your VetLab Station by viewing submitted labs on the VetLab Station under Settings > Home Screen > Display Pending List.


🗺️ How to Map your Inventory Items

To complete the integration, you will need to map your existing inventory items to IDEXX's catalog. This section covers Reference and VetLab Station test mapping. If you do not have any existing IDEXX Inventory items, the process will be the same by adding a New Item.

  1. Navigate to the applicable laboratory item

  2. Click on Edit Item

  3. In the Name field, type in the IDEXX lab ID (i.e. 3006) or name and select the appropriate lab from the list (IDEXX's tests will start with "IDEXX:")

  4. Click "Save + Done"

⚠️ Important: For in-house labs, please use the keyword VetLab and select the appropriate result from the list.

💡You will know the lab is mapped correctly because the "Name" field is hard coded once the inventory item is saved. If a mistake is made, you will have to delete the item and add a new item for the applicable IDEXX Lab.

💡If tests are processed outside of the recommended workflow, results can be manually entered into the test via the Vetlab Station. Once these are entered, they can be saved and transmitted back to DaySmart Vet.


💻 How to Submit IDEXX Labs

Once your IDEXX inventory is mapped, you are ready to start using the integration.

💡 If you do not follow the instructions in this section, the lab results will be returned as a Unassigned Lab, located under the Labs tab in the Patient Dashboard. These labs can be mapped to the patient from there. To learn how, click the link below.

Submitting an IDEXX Reference Lab Request

  1. Create the lab record for the IDEXX reference lab in DaySmart Vet

  2. When prompted, print the IDEXX requisition form. The form includes a barcode that IDEXX uses to send results back to DaySmart Vet

  3. Place the printed requisition form in the bag with the sample and send it to IDEXX for processing

  4. When results are available, the submitting doctor receives a task notification with a link to review the results.

⚠️ Important: The sample must be submitted with the DaySmart Vet-printed IDEXX requisition form. Without it, results will not automatically return to DaySmart Vet.

Submitting an IDEXX In-House Lab Request

  1. Create the lab record for the IDEXX in-house lab in DaySmart Vet

  2. At the VetLab Station, select the lab from the Pending list

  3. Insert the clip into the appropriate analyzer

  4. When processing is complete, results are returned to DaySmart Vet and the doctor receives a task notification with a link to review

💡 To view pending DaySmart Vet labs on your VetLab Station, go to Settings > Home Screen > Display Pending List.

Manually Sending Lab

In the event of a network connection issue and the lab is not sent, there is a Complete Order option that will resend the lab order. This will bring up the IDEXX VetConnects form for the lab to be submitted. It can be found on the gear icon to the right of the record.

Additionally, there is a Complete Order button on the top header of the lab record.

General Troubleshooting Steps

Before diving into specific issues, complete the following steps first — then attempt to submit another lab:

  1. Clear your browser cache to ensure old data is not interfering with the integration.

  2. Confirm your browser is set to accept third-party cookies. This must be done on every computer from which labs will be submitted.

Troubleshooting the IDEXX Integration Setup

If you are having trouble enabling the IDEXX integration, review the following:

  • Verify that your credentials are correct. Clinics can occasionally share credentials, so it is important to have the most up-to-date login information.

  • IDEXX credentials are case-sensitive. Confirm that uppercase and lowercase characters are entered accurately.

Troubleshooting the VetLab Station

If the VetLab Station is not appearing or behaving as expected, work through the following steps in order:

  • If the device does not appear, ensure it is configured to connect to a cloud-based PIMS — not an IP or server-based PIMS. This can be updated by the IDEXX rep or the user.

  • If the device still does not appear, have the user or IDEXX rep re-enter the VetConnect Plus credentials directly on the VetLab Station.

  • If the device does not appear after updating the VetLab credentials, verify the credentials entered in the IDEXX add-on menu and re-enter them if there is any question about their accuracy.

  • If the device still does not appear, restart the VetLab Station and wait at least 5 minutes to see if it appears.

⚠️ Important: The name of integrated labs cannot be changed from the inventory default. If the name is modified before saving, the mapping will be lost and the lab will not be recognized by the integration.

💡 Please Note: If a test request is submitted but never reaches the VetLab Station, this is a platform-side issue. If the request is received and the test is run, but results do not return, this is an IDEXX-side issue.

  1. Start in the Settings and navigate to the Staff tab. From there, select the applicable staff member by either clicking directly on the staff's name, or selecting Edit to the right of their name.

  2. Click Edit Profile from the top right of the staff's profile.

  3. In the right-hand column of the staff profile, locate the IDEXX Client field.

  4. To link a staff profile to an IDEXX Client record, search the staff member's name in the field and select from the dropdown. The staff member must have a client profile created in your account.

  5. Click Save on the top right when done.

What do I need to enable the IDEXX integration?

Open the applicable inventory item, click Edit Item, and type the IDEXX lab ID or name in the Name field. Select the appropriate test from the dropdown — IDEXX tests are prefixed with "IDEXX:". For in-house labs, search using the keyword VetLab. Once saved, the Name field will be locked, confirming the item is mapped correctly.

Why didn't my reference lab results return automatically to DaySmart Vet?

Results are returned automatically only when the DaySmart Vet-printed IDEXX requisition form accompanies the sample. The form contains a barcode IDEXX uses to route results back to the correct record. Without it, results will appear as an unassigned lab under the Labs tab in the Patient Dashboard.

What should I do if a lab order wasn't sent due to a connection issue?

Use the Complete Order option to resend the lab order. This can be accessed via the gear icon to the right of the lab record, or from the Complete Order button in the top header of the lab record. This will reopen the IDEXX VetConnect form for resubmission.

How do I set up IDEXX employee discounts for staff?

Navigate to Settings > Staff and open the applicable staff member's profile. Click Edit Profile, locate the IDEXX Client field in the right-hand column, and search for the staff member's name to link their client profile. Click Save when done. The staff member must have an existing client profile in your account for the discount to apply.
