Charitable Funds Management

Charitable Funds in DaySmart Vet are Payment Types that your clients can fund to help other pet owners in need. You can create multiple funds and any client can add to any of your funds in a variety of ways.

Creating a Charitable Fund

  1. Navigate to the Settings Module.

  2. Click Configuration and select "New Payment Type".

  3. Input the desired Fund Name and set the Category to "Charitable Fund".

  4. Click "Save + Done", or use the arrow next to the save button to select "Save + Add New" if you wish to create another Payment Type/Charitable Fund.

Funding Charitable Funds

Charitable Funds can be funded in many ways and any client can make a contribution to a fund. Clients can make a direct payment, donate the change from a payment towards an invoice, or donate an existing credit from their account. The balance of the charitable fund increases whenever a deposit is applied using that payment type.

To add funds directly to an account:

  1. Navigate to the Billing Module.

  2. Click Payments and select "New Payment".

  3. Select the proper client (this will open all open invoices in the "Apply To" field that need to be collected against, you will need to "X" out any unpaid invoices to proceed).

  4. In the now empty "Apply To" field, use the dropdown to select the fund you wish to apply the deposit to.

  5. In the "Collected" field, input the amount.

  6. Select which payment type the customer will be paying with.

  7. Click "Save".

To donate the change from a payment towards a Charitable Fund

  1. Navigate to the Billing Module (This can also be done directly from the Client Profile or from an Invoice).

  2. Click Payments and select "New Payment".

  3. Select the proper client (this will open all open invoices in the "Apply To" field that need to be collected against).

  4. The collected field will automatically tally the exact balance of the selected invoices. You can override this to input the exact amount the customer is paying.

  5. Select which payment type the customer will be paying with.

  6. If the collected amount is greater than the total due, the "Change" field will be available and you can select one of your Charitable Funds to apply this amount to.

  7. Click "Save".

To donate an existing credit to a Charitable Fund

  1. Navigate to the Billing Module (This can also be done directly from the Client Profile).

  2. Click Credits and select View Credits.

  3. Find the credit the client wishes to donate and click the gear icon at the far right.

  4. Click "Donate to Charitable Fund".

  5. Select which fund you would like to apply the credit towards.

  6. Click "Save".

Making a payment from a Charitable Fund

When making a new payment you will see your configured charitable funds in the 'Type' dropdown, and each fund will show the available balance along side the fund name.

Reporting on Charitable Funds

The "Charitable Funds Summary” can be found in the Billing section of the Reports Module. This report will summarize all of the deposits and payments made against each fund, as well as summarize the balance remaining for each fund.
