Tracking Employee Timesheets

📝Overview

The Time Clock feature helps track employee work hours by requiring hourly staff to clock in and out directly within DaySmart Vet. With flexible configuration options, automatic rounding, and timesheet reporting, the Time Clock ensures accurate timekeeping and streamlined payroll management.


⏱️ How to Enable the Time Clock

  1. Navigate to Settings

  2. Click on View Configurations

  3. Scroll to the row labeled Time Clock and click the green plus (+) icon to the right

  4. Complete the configuration form, which includes the following options:

  • Clock In – Rounds the time an employee clocks in down to the nearest interval you set. For example, if the interval is 5 minutes, a login at 9:03 rounds to 9:00, while 9:07 rounds to 9:05.

  • Clock Out – Rounds the time an employee clocks out up to the nearest interval you set. For example, if the interval is 5 minutes, a logout at 5:03 rounds to 5:05, while 5:07 rounds to 5:10.

  • Logout – When enabled, employees are automatically logged out when they clock out.

  1. Navigate to Settings

  2. Select Staff

  3. Select Edit to the right of the staff member’s name or click on the staff members name

  4. Click Edit Profile on the top right

  5. Change the Pay Type field to Hourly

  6. Click Save + Done.


🕐 How to Clock In and Out

Employees set to hourly pay type will be prompted to clock in automatically the first time they log in each day.

To clock in or out later, employees can click their name in the top-right corner of the page and select the applicable option from the menu.

If an employee is not prompted to clock in at the start of their shift, it usually means they forgot to clock out from their previous shift.

Reviewing & Editing Time sheets

⚠️ Administrator permissions are needed to edit, view or add a new time sheet.

To access a specific staff member's time sheet, navigate to their profile from the Staff tab. You will see their Time Sheets on the left.

Click Edit on the right of the day that needs to be adjusted and fill out the form that appears.

Adding a New Timesheet

From a staff profile, simply click Add New on the top right which will bring up a new timesheet to add for the staff member.

Generating Timesheets

Timesheets can be generated from the Staff tab in Reports under Time Sheets.


The Filter option on the top left can be used to display timesheets for the applicable pay period. Timesheets can be exported (downloaded) to CSV (comma-separated value) format or printed by clicking on the Export button on the top left and selecting the applicable option.

💡 Overtime will be displayed on the dowloaded CSV file and not shown the printed PDF version.

1. Who is required to use the Time Clock?
Only employees with their pay type set to Hourly are required to clock in and out. Salaried employees are not affected by this feature.

2. How do I enable the Time Clock?
Go to Settings > View Configurations, scroll to Time Clock, and click the green plus (+) icon. From there, complete the configuration form, which lets you set rounding rules for clock-in and clock-out times, and choose whether employees are logged out automatically when clocking out.

3. What happens if an employee forgets to clock out?
If an employee isn’t prompted to clock in at the start of their next shift, it usually means they forgot to clock out from their previous shift. An administrator can adjust this by editing the timesheet.

4. Can administrators edit or add timesheets?
Yes. Administrators can review, edit, or add new timesheets directly from a staff member’s profile. All edits are logged for tracking, and notes can be added to timesheets as needed.

5. Can timesheets be exported for payroll?
Yes. Timesheets can be generated under Reports > Staff > Time Sheets, filtered by pay period, and exported to CSV or printed as a PDF. Note that overtime details will appear in the CSV file but not in the printed PDF.
