Use the Accounts Receivable Reconciliation Report alongside the Accounts Receivable Report to track, compare, and reconcile outstanding client balances.

The Accounts Receivable (AR) Reconciliation Report pulls outstanding balance data based on invoice date and is designed to be used alongside the Accounts Receivable Report for the most accurate picture of outstanding and updated balances. Because totals on both reports update dynamically โ€” as invoices are edited or balances are paid โ€” this report is best used as a comparative tool rather than a standalone reference.

The Accounts Receivable report will display all clients who have a balance with your business. Statements can easily be emailed or printed right from the report for payment collection.

๐Ÿ“ˆ Accounts Receivable Reconciliation Report

This report provides a summary of payments, invoices and taxes to help you reconcile changes in accounts receivable balance for the selected period. Please note that payments will net out any refunds. Also please note that the date used for data inclusion in this report is the invoice date.

Follow the steps below to access the AR Reconciliation Report:

  1. Click Reports

  2. Click Billing

  3. Select Account Receivable Reconciliation

  4. At the top, select Filter to adjust report by date range as needed. Additionally, the top is where you will find the Export option, which allows the report to be downloaded or printed

How This Report Works

The totals on this report will update whenever an open invoice is edited (e.g., items are added or removed on a different day) or when a balance is paid. Clients will no longer appear on the AR reports once payment is made in full, which also causes totals to change over time.

This report is best used in conjunction with the Accounts Receivable Report to compare figures and get the most accurate view of outstanding balances.

๐Ÿ’ก An Accounts Receivable Out of Period Sales report is also available to capture items added to invoices outside of the selected date range โ€” helping fill in any gaps in the data.

โš ๏ธ Invoice Date vs. Record Creation Date: Reports that pull data based on invoice date and reports that pull data based on record creation date will not produce matching totals when compared. This is expected behavior โ€” the figures are compiled from different data sources.

Use the accounts receivable report to see the total amounts that are currently past due and how far past due these amounts are. Use this information to monitor potential collection issues and to manage your cash flow.

If you have any reopened invoices, you will see a warning banner explaining

there are invoices with a reopened status. Until these are posted, you may have difficulty reconciling, as any balances, payments, and overpayment credits may not yet settled. There will be links to a list of the reopened invoices.

First, click Filter on the top to get the date range that is needed.

Once the report is generated, you can use the Statements button on the top header to either Email or Print the statements. Fill out the form with the specific details that need to be applied to the statements and click to Email or Print (dependent on option chosen).

๐Ÿ’ก Pro Tip: Client's with credits will appear on this report, with the total credit amount in parenthesis. When filtering the report, selecting At least $1.00 in the Total Due field will remove any client's with credits.

Why do the totals on my AR Reconciliation Report keep changing?

Totals update any time an open invoice is edited โ€” such as when items are added or removed on a different date โ€” or when a balance is paid in full. Clients are removed from the report once their balance reaches zero, which also affects the running totals.

These two reports pull data from different sources. The AR Reconciliation Report is based on invoice date, while other reports may use record creation date. Because the data is compiled differently, the totals will not align โ€” this is expected and not an error.
