Marketing Campaigns & Referral Sources

Learn how to create and manage the marketing campaigns feature in the settings. Additionally, this article will teach you how to enter in referrals.

Marketing campaigns can be used to track the effectiveness of your clinic's sponsored ads or to identify how new clients are finding you β€” whether through social media platforms like Facebook or Instagram, or other referral channels. Tracking these campaigns helps you identify where most of your referrals originate, so you can make informed decisions about where to invest your marketing budget.


βš™οΈ How to Manage Marketing Campaigns

Marketing campaigns are managed in Settings under Configuration. Once created, a campaign can be associated with specific appointments.

How To Create a New Campaign

  1. Click Setting

  2. Click Configuration and select View Marketing Campaigns

  3. Click the βž• button on the top right

  4. Complete the form that appears, including the Title and campaign Cost if available, then click Save + Done

How To View & Edit Existing Campaigns

  1. Click Settings

  2. Click Configuration and select View Marketing Campaigns

  3. Select Edit or Delete to the right of the marketing campaign. Fill out the form that appears and click save

⚠️ Deleting a campaign will remove it from the active campaign list. Appointments that were previously associated with the marketing campaign will continue to appear in reports.


πŸ”— How to Apply a Referral Source

Referral sources β€” including clients, contacts, companies and marketing campaigns β€” are assigned to individual appointments at the time of creation, during editing, or at check-in.

Within the Referred By field, simply begin typing the name of the individual or marketing campaign that generated the appointment and select it from the list.

πŸ’‘ A client's profile will also display their referral source. By default, this reflects the referral source used when the client's first appointment was created. You can update this at any time by editing the client's profile.

πŸ“Š Referral Source Report

The Referral Source Report provides a summary of appointments, appointment value, and return on investment (ROI) for each referral type within a selected date range. Inactive marketing campaigns are displayed in a separate section of the report. This report helps you evaluate who is sending you business and measure the effectiveness of your marketing campaigns.

The report is found in the Reports Module under the Schedule tab.

Can I track referrals from sources other than marketing campaigns?

Yes. Referral sources can include existing clients, contacts, and marketing campaigns. When creating or editing an appointment, simply begin typing the name of the referral source and select it from the list.

Where do I associate a referral source with an appointment?

What happens to a client's referral source if I update it later?

By default, the referral source displayed on a client's profile reflects the one used when their first appointment was created. You can update this by editing the client's profile directly.

Will deactivated campaigns still appear in reports?

Yes. Inactive marketing campaigns will continue to appear in a separate section of the Referral Source Report, so historical data is not lost.
