DaySmart Vet makes it easy to set and manage your clinicâs operating hours. Within the settings, you can configure regular business hours, add custom hours for specific days and apply after hours. These hours help control appointment availability and ensure accurate scheduling across your team. It's a simple way to keep your clinic running smoothly and efficiently.

đ How to Set Up Clinic Hours (Regular Business Hours)
The clinic hours are found in the Settings > Configurations > View Clinic Hours. Set up your clinicâs operating hours for each day of the week. You can create multiple time blocks to define when your clinic is open as "regular hours" or operating as "after hours" for price markup purposes throughout the 24 hour cycle of the day. Time ranges with no block are defined as hours when the clinic is fully closed and not operational.

Follow the steps below to properly set up your clinic hours:
Toggle off any day the clinic is closed
On each open day, select the + on the right of the day. Next, enter in the hours range, from start to end (required fields). Select "Regular Hours"
Repeat this process for any day the clinic is open. Multiple booking blocks can be put on a single day, by clicking the + button.
Editing and Deleting a Booking Block
Any booking block can be edited or deleted by selecting the 3 dot on the right of the booking block.
đ How to Set After Hours Markup
The clinic hours configuration allows for your clinic to set "After Hours", which are outside your clinics normal scheduling hours. By having after hours set in clinic hours, it allows for a percentage markup to happen automatically when an appointment is scheduled and invoiced within the set after hours.

In order to apply after hours, please follow the steps below:
On any day that needs after hours applied, select the + button to the right of the day. Enter in the after hours "Start" and "End" hours range and select "After Hours" from the dropdown
Because clinic hours follow a 24-hour schedule, if after-hours on a given day extend past 11:59 PM, you'll need to use the + button on the following day to add those extended hours.

Click the 3 dots on the right of any after hours block, and select to edit or delete.
Setting After Hours Markup
Navigate to Settings > View Configurations > After Hours Markup. The value specified in this configuration will be applied to an item's price when charged after regular hours, as specified in the "Clinic Hours" setting
Click the edit button to the right of "After Hours Markup"
Enter in the markup percentage in the "Markup" field. This percentage will be applied to any items that are invoiced during the set after hours, if the item is in the set category of the "Applies To" field. The after hours markup percentage can be applied to either all inventory categories or specific categories. You can also set if you would like the markup to apply to bundles.
Click "Save"

Clinic Block Times is a powerful scheduling feature that allows you to define periods when your veterinary practice is unavailable for appointments. Whether you need to block off regular closing times, equipment maintenance, or emergency closures, this feature ensures your appointment system respects your practice's availability.

To get started, navigate to Settings > Configurations > Clinic Hours. Select Block Times from the left.
On the right, click â Block Off
Give the block a Title. Next, set the Block Time. This can be set for specific times of a day, such as a weekly meeting, or you can block off the entire day by toggling on the All day option.
If this block needs to recur on a certain cadence, Click the Set as a recurring block box.
When you click the box, youâll be prompted to set a recurring schedule. For example, if youâre creating a daily blockâsuch as a lunch breakâset it to repeat every 5 Day(s). From the dropdown, you can choose Day(s), Week(s), Month(s), or Year(s) to fit your needs. When you set a block for a certain timeframe, such as Mon - Fri, the system will default the Repeat Every field for you. You can set an End Date as needed.
In the example below, a block will be put on the schedule from 12:00pm to 1:00pm every Monday - Friday with no end date.
For holidays, such as Thanksgiving, set the recurrence to Once Every Year. You can then choose from the dropdown to repeat on the 4th Thursday of November or on the specific date currently selected (For holidays that are the same date every year).
Once ready to apply the block time, click Add on the bottom right.
Editing, Deleting and Scheduling within a Block Time
Any block time can be edited or deleted from the right of the block.
Once the block is applied, you will see the area of the schedule greyed out, with â ď¸ Blocked.
An appointment can still be scheduled by clicking in the blocked time. You will be prompted with a form, which allows you to directly access the clinic hours configuration in order to edit or delete the block (permissions needed to do so) or the option to Create Appointment Anyway.

1. How do I set up regular clinic hours?
You can configure your clinicâs regular operating hours by navigating to the Clinic Hours settings. From there, you can define which days the clinic is open, create time blocks for each day, and mark them as "Regular Hours." Days the clinic is closed can simply be toggled off.
2. What are âAfter Hoursâ and how can I set them up?
After Hours are designated time blocks outside of your regular business hours. These are set within the same Clinic Hours settings by selecting the appropriate time range and labeling it as "After Hours." If these hours extend past midnight, they must be continued on the following day.
3. How do I edit or delete a time block?
Any time block, whether itâs for regular hours or after hours, can be edited or deleted by selecting the options menu next to the block.
4. How does After Hours Markup work and how is it configured?
After Hours Markup automatically increases item prices during after-hours appointments. This markup is configured separately by entering a percentage and choosing which inventory categories or bundles it applies to.
