Sync Appointments to Calendar Configuration

There is a configuration that when enabled, allows clients to easily sync their upcoming appointments to their personal calendar

📝 Overview

This configuration will allow clients to sync their upcoming appointments to their personal calendar with a simple click. Having this enabled is not only convenient for your clients, it can potentially prevent 'no shows'.


✅ How to Enable the Sync Appointments to Calendar Configuration

The default for this configuration is currently set as disabled This feature is easily enabled from your settings. Follow the steps below to do so.

  1. Navigate to the Settings module

  2. Click Configuration > View Configurations

  3. Search for Sync Appointments to Calendar in the search bar on the top right of the list

  4. Click Edit to the right of the configuration and select Enable from the dropdown. Click Save to enable


    📆 How Does Sync Appointment to Calendar Work

    Now that the configuration has been enabled, clients will begin to receive the .ics invite on their Appointment Confirmation email. There will be an Update My Calendar button for the client to click and add to their calendar.

Cancelled Appointment

In the event the appointment is cancelled, the cancellation email will contain another 'Update My Calendar' button. Once they click on that button, the appointment will be removed from their personal calendar.

​💡 If an appointment is edited by changing the time manually or by dragging and dropping, A new link is sent to the client so that the new time can be updated on the calendar

How do I enable Sync Appointments to Calendar?

This feature is disabled by default. To enable it:

  1. Navigate to the Settings module.

  2. Click Configuration > View Configurations.

  3. Use the search bar to find Sync Appointments to Calendar.

  4. Click Edit to the right of the configuration, select Enable from the dropdown, and click Save.

What happens to the calendar event if an appointment is cancelled?

f an appointment is cancelled, the cancellation email will include an Update My Calendar button. When the client clicks it, the appointment is automatically removed from their personal calendar.

If an appointment time is changed — either by manually editing the time or by dragging and dropping the appointment to a new slot — a new calendar link is automatically sent to the client. Clicking the updated Update My Calendar button will reflect the new appointment time on their personal calendar.
