Managing Relationships

Relationships are how you connect clients and their patients, along with many other relationship options. Learn how to work with these relationships.

📝 Overview

In order to connect a patient and client, you will need to make a relationship between them. Relationships go a lot further than just clients and patients connections; such as using this feature for emergency contacts, previous owners, where the patient is boarded at, their pharmacy, etc.


📆 Creating a New Relationship from the Schedule

This approach allows you to create new clients and patients simultaneously during appointment scheduling, with the "Is Owned by" (patient) and "Is Owner of" (client) relationship automatically established.

From any appointment, the Client field with have a green box labeled New Client. Click this and fill out the new client's information and save.

Next, the Patient field with have a green box labeled New Patient. Click this and fill out the new Patient's information and save.

The relationship of owner and is owned by is automatically created.

💡 Tip: You can create a new patient owned by a client by searching for and selecting the client, then clicking New Patient. The system automatically establishes the ownership relationship.


🐕 Creating a New Relationship for a Patient or Client

From the a patient or client profile, you can add new relationships.

  1. Navigate to applicable patient

  2. Click on Relationships

  3. Select New Relationship on the far right

  4. Complete the form that appears and select Save

  5. Click Save

💡 Tip: You can create a new client, company, or contact profile when assigning a relationship to a patient by clicking on the Name field of the New Relationship form, and selecting the applicable "Add" option in green. Click the button below to learn more about adding new clients.

Primary Owner

While multiple clients can be assigned as Owners of a patient, only one client can be the primary owner. The primary owner's last name will be assigned to that patient, and all billing records will default to that person, except when billing is associated with an appointment. Any owner can have their name assigned as the client on an appointment for the patient.

The primary owner will be designated with a star icon when viewing a patient's relationship. The designation can be reassigned by clicking on the gear icon next to the name of a different owner.

Creating a New Relationship with a Client

  1. Navigate to the applicable client

  2. Click on Relationships and select New Relationship

  3. Complete the form that appears and click Save

Can a patient have more than one owner?

Yes. Multiple clients can be assigned as owners of a patient. However, only one client can be designated as the primary owner. The primary owner's last name is assigned to the patient, and all billing defaults to that person unless billing is tied to a specific appointment.

How do I change the primary owner of a patient?

The primary owner is indicated by a star icon in the patient's relationships list. To reassign the designation, click the gear icon next to the name of the client you want to set as the new primary owner.

Can I create a new client or patient profile while setting up a relationship?

Yes. When completing the New Relationship form, click the Name field and select the applicable Add option to create a new client, company, contact, or patient profile without leaving the workflow.

What types of relationships can be created between a patient and a contact?

Relationships extend beyond standard client and patient ownership. You can also assign relationships for emergency contacts, previous owners, boarding locations, and pharmacies.
